INVOICE GUIDE

Retail Invoice Guide

Retail invoices should make individual products, quantities and prices easy to verify.

Start with the information the customer needs

A good invoice is not a dump of internal business information. It is a concise record of a transaction. The customer should be able to identify the supplier, understand what was supplied and see the amount due without searching through the page.

Useful fields for this situation

Depending on the transaction, useful information can include product name, SKU, quantity, unit rate, discount, tax, warranty, delivery or pickup details and payment method. InvoiceFlow's category-specific generator provides these fields while keeping the standard invoice sections available.

Check the calculation

Before sending, review each quantity and rate, then check discounts, taxable values, tax amounts, total, amount paid and balance. A professional-looking document is still a problem if the arithmetic is wrong.

Keep tax information accurate

Use product descriptions that match the wording your customer saw at purchase.

Make payment instructions easy to follow

If you accept UPI, bank transfer or another method, provide only the details you actually want customers to use. If you include a QR code or UPI ID, test that it points to the intended payment destination before sending the invoice.
